- Research and source high-quality interior products including bespoke items, fittings, soft furnishings, lighting, furniture, sanitary ware, pictures, and accessories for the designer’s brief.
- Obtain product samples and organize paint samples.
- Place and confirm orders with suppliers, oversee supplier production, monitor quality and coordinate delivery slots.
- Manage suppliers and contractors.
- Receive deliveries on-site and assist in their placement and installation to plan.
- Take and produce minutes of client meetings.
- Meet clients and exceed the expected high standard of service.
- Action interior designers’ instructions and keep them informed on work progress.
- Prepare and maintain project schedules and programs.
- Maintain an organized and tidy appearance of the office.
- Maintain samples library and product store.
- Acting as the first point of contact: dealing with correspondence and phone calls.
- Managing diaries, and organizing meetings and appointments.
- Booking and arranging travel, transport, and accommodation.
- Organizing events and conferences.
- Reminding the manager/executive of important tasks and deadlines.
- Typing, compiling and preparing reports, presentations, and correspondence.
- Managing databases and filing systems.
- Implementing and maintaining procedures/administrative systems.
- Collating and filing expenses.
- Organizing and scheduling meetings.
- Prepare meeting agendas, conduct research for meetings, and take minutes.
- Preparation of BOQ (Bill of Quantity)
- Answer and screen calls.
- Manage the diaries and schedules.
- Communicate with Board Members, schedule Board Meetings, and arrange meeting agendas.
- Oversee office correspondence.
- Liaise with other executives on behalf of the CEO.
